Can I edit or cancel an office hours?
Editing Office Hours sessions
To edit office hours you have created is fairly simple.
When you are viewing your main calendar you will see a list of office hours you have created on the calendar, as seen below.
1. Click the session that you want to edit
To edit an office hour session, hover over the session that you want to edit, then click the session.
2. Edit session modal opens to allow you to begin edits for a single session only
You can make your edits to the session you selected in this modal.
Any edits you wish to make can be made in the same manner that you created the office hour session. You can edit time, location, the remote link, and your message for this session.
After you make the edits, clicking save will save the changes and exit out of the modal.
3. Changing the date
You can change the date of an office hours session by selecting the calendar, and then the desired date you wish to change it to.
Take note, you can not change it to a date where an existing office hour in the same time slot already exists. You will receive an error, as seen in the image below this one.
Attempting to change the date of an existing office hour session to a date that already has a session scheduled for the same time will result in an error, as seen below.
4. Changing the length of time for a session
Office hours sessions are limited to 30 minute increments. Trying to change the length of a single session will result in an error message with a reminder that a single session can not exceed 30 minutes.
5. A valid edit example
Below is a valid example of an edit to an office hours session.
The time has been adjusted in a 30 minute increment. The location has been selected, a remote link entered and a brief message has been included as well.
Clicking the "save" button now will edit the office hours session accordingly.
6. Successful Edit
Once you have clicked the "save" button, you will see a success message at the bottom of your screen with a short description of the session that was edited.
Cancelling Office Hours sessions
Cancelling an office hour session is just as easy as editing it.
There is a slight difference between cancelling an unreserved office hour session and cancelling a session that has been reserved.
Cancelling an unreserved office hour session
1. Select the unreserved session you want to cancel
Simply hover over the unreserved session that you want to cancel and click it to open the edit modal.
2. Cancel the session
Take a moment and confirm that the session that you selected is the one you wish to cancel.
Once confirmed, simply click the "cancel session" button on the lower left of the edit session modal.
After a few seconds a confirmation message at the bottom of the screen will appear to confirm the selected session has been canceled.
Cancelling a reserved office hour session
1. Select the reserved session you want to cancel
When a session has been reserved, it will appear on your calendar as seen below.
To select, click on the reserved office hour.
2. Review before cancelling
Once you have clicked on the session you want to cancel, a modal will appear with the details of the session. You will see yourself listed as the mentor, the entrepreneur who reserved the session, as well as the details of date, time and location.
After reviewing, click the "cancel Session" button on the lower left corner of the modal. If this is not the session you want to cancel, simply click the "close" button to dismiss the modal.
3. Add a message / Send cancellation
After clicking the "Cancel Session" button, the system will give you a chance to review the cancellation before it sends an email notification to the entrepreneur.
At this time you can add a message that will be sent along to the entrepreneur who reserved the session.
To exit without cancelling, simply click the " Never mind, take me back" button, to dismiss the modal.
Once you have prepared a message and confirmed this is the session to cancel, click the " Send Cancellation" button.
4. Cancellation confirmation
After a few seconds a confirmation message at the bottom of the screen will appear to confirm the selected session has been canceled.
5. Confirmation emails
When an office hour is cancelled both you and the entrepreneur who reserved the office hour session will receive a confirmation email.
The email that you will receive will look different depending on who cancelled the office hour.
- If you cancel a reserved office hour session you will receive a confirmation email that looks like the one below.
- If an entrepreneur cancelled it you will receive an email that looks like the one below.
- If a staff member cancelled it you will receive an email that looks like the one below.
